How Hosted PBX Can Make Communication In A Business More Efficient

By Ernest B. Fondren

When a business needs many different numbers or phone lines to handle all of the calls coming into the company they will often use a PBX or hosted PBX system. This enables there to be a main phone line and then many other branches or extensions that are connected to it. With this kind of set up, there is no need for several phone lines to be run into a building. All of the extensions can be accessed through the same line without tying up the other extensions and creating a busy signal. When the customer calls the main line, the call can easily be directed to the correct extension.

When this type of system is used through an internet connection or VoIP it is known as a hosted PBX. This sort of service is often preferred because companies only need an internet connection to make phone calls, and the phone line can be reached from any location that has an internet connection. Since the only equipment that is needed is a computer and internet connection, this sort of phone system is usually less expensive to install and maintain.

Companies should be able to give one phone number for customers to call them on. Customers may become confused if they are given several different contact numbers to call for the same business. With a main number, customers can call and either ask to be transferred to the appropriate extension or they can enter the extension (if they know it) to immediately access the right number.

With a hosted PBX system, each extension can be given a unique voice mail box for directing missed calls. Rather than simply missing calls, customers can leave messages if the person or department is unavailable. Independent voice mail boxes get rid of the confusion of having a main voice mail box that needs to be sorted. People will be able to receive their own messages and respond to them in a timely manner.

Companies that have several departments or employees will need to have several phone lines or extensions to make certain that their primary number is not always tied up. It is cost efficient and provides easy accessibility to all workers when a business chooses to employ a hosted PBX into its phone system. Business voice mail boxes at each extension ensure that customers are responded to quickly and that employees can communicate with each other. Businesses that wish to improve communication with employees and customers would benefit from this type of system.
