Domain name registration is an activity that is normally vital for any organization that wants to operate as an independent entity. Such organizations may be companies, non-governmental organizations or even learning institutions. Whichever the organization, this process is extremely essential.

Usually, any gathering of people must have rules governing what they should and what they should not do. This usually is clearly represented in a document known as a constitution. This one is among the most vital of documents the process of authenticating a domain cannot go through if this document is lacking. The document usually must be prepared with the participation of all the individuals in that particular organization.

It is in this document that the duties of various people especially the officials are outlined. This is because what they do is usually very important and any mistake in their duties may lead to collapsing of the group. In such organizations, some members are likely to default in their agreement. Fines have been put in place for such people. The amounts paid as fine are also listed in this document to avoid controversy when applied.

Some people usually come together for purposes of beginning projects. Some of these people may not be having the required amount of finances to start them off. As such, they may be in need of financial assistance from the financial institutions. They therefore must draw an approximation of the amount they require, in what is called a budget. This is then presented to the people in charge of the registering activity for approval.

A list of all the members must also be availed. The list must contain all their names alongside their identification numbers, contacts and signatures. This is to confirm, that the members of that group have agreed to all that the group is taking part in and are ready to participate. No amendments should be available in these forms. Copies of the identification documents of the members may at times be needed.

Group meetings also can never go without minutes. This actually is the main role of the secretary. The very initial minutes when the members decided to have the group registered are the ones that are considered very essential to the authorities in charge. The members must present them to the body personnel, alongside the signatures appended by the members on the day of the meeting, against the minutes.

Members who need to have their group name documented must as such prepare themselves with all the above documents. Once they feel that they are ready for the process, the representatives approach the body with a given amount of money. This money usually is the registration fee. It usually differs depending on the type of group being registered. The larger the group, the more the amount paid. A certificate is then given as evidence of completion of this process.

Domain name registration is an activity that is ever ongoing. This is because each and every single day, more people come together to share in ideas and activities. The bodies responsible have however been warned to check against fraud.
