The Benefits That May Be Had From Using EDI

By Peggie K. Lambert

Quite a few companies need to be creative in every aspect of their operation, specifically in how they communicate. For that reason, Electronic Data Interchange (or EDI) has emerged as a prominent issue in the commercial world. Below is outlined some details as to why this is happening.

For starters, you should always be clear regarding the subject being discussed, a truism that holds for Electronic Data Interchange as much as it would for any other subject. Effectively, EDI is the process where business documentation is communicated in a standardized fashion between firms. That is the definition which covers the essentials of the process.

In general, this just means that such documents are transferred from one computer to another computer. At first glance, this may appear indistinguishable from how e-mail works. But there is a difference: e-mail is free to be tailored to the sender's requirements; EDI must follow a standardized protocol that is businesslike.

Therefore, the documents that are transferred must be proficiently put together and follow business standards in how they are made. You cannot employ the more infamous aspects of e-mail communication, like emoticons or text slang. Such documents have to follow the same protocol as a hard copy document would.

The process has become such a hot button topic because of the considerable benefits that it bestows. Substantial savings are to be made for firms that use these processes rather than paper for their communications. So for economic reasons alone, EDI is a clear winner to back.

Reducing the costs of printing documentation or invoices is not the full story, though. As such documentation is issued electronically, they are received much more quickly than they would have been if dispatched as paper copies. And the time saved issuing them also saves you money as well.

Since less time is needed to issue documentation or invoices to their intended receivers, better attention can be devoted to what their content is. Less chances of errors in said contents is the result here. And those chances are reduced further if compliance with standardized protocol is observed.

By contrast, the paper dependent route demands a turnaround time for a document to reach its receiver. Here, you will be rushing to make sure that it is sent soon enough for it to meet a specific deadline. Such a situation leaves you more prone to the possibility that a mistake will be made.

Public relations will also benefit in addition to your business prospects with this process. Your reliance on electronic means of communication will have a more positive environmental impact than would a reliance on paper based communication. And since we live in a more green conscious era, your public image will seem better as a result.

To sum up, EDI confers a substantial number of strengths to its users. So you would be wise to inform yourself quickly as to what those strengths are. If you adhere to the advice presented in the foregoing, you will be unlikely to make a bad move and your firm will be bolstered in financial and public relations terms.
