Importance Of Using Teleform Systems

By Kathy Kaufman

Teleform is a technology developed to assist the companies with multiple data be able to easily capture their information, validate the in formation, and safely store the information. The information that is to be teleformed could be in the form of images, whereby this technology would scan the images, mathematical data could also be transformed, and the most unique one is that this technology could also be able to recognise symbologies of different countries.

The history of teleform traces to 1991 where this device was invented by a company called Hewlett Packard. The aim of this first device made was to help with the reading of information received via fax, via paper and also other electrical means. It is known that man has a tendency of finding a different means of solving their problem f the initial proves to be cumbersome. For this reason this technology was established and has since helped so much.

One would ask themselves how a this technology works. It does not function independently but rather depends on other forms of technology in order for it to read the data. One of the technologies used is the Optical Mark Reading which was initially known as image scanner. This application helps to digitalise the information entered in paper form. Optical mark reading has proved to be very reliable and allows for more information to be entered per sheet.

In addition to this OMR are other forms of optical technology that work hand in hand with this device so as to make the reading successful. An example s then Optical Character Recognition which is helpful in the reading of documents such as letters that are present din paper form. Similar to this is the Intelligent Character Recognition. The Bar Code Recognition is the last among the four that works with this technology.

This system performs very many tasks. It helps in the scanning of images. It also gives a chance to its users to make a review of their work before it is stored to allow for corrections of any mistakes done. It also creates forms that can be read by the machine. The most important function is the reading and storage of data in the correct database.

Using this technology comes with some advantages too. One of the advantages is that it improves the customer supplier relationship because of its efficiency in the speed of information transmission. It also proves to be cheaper because sorting documents manually is very expensive. The storage of the papers is also very secure and therefore the risk of damage of one's business is greatly reduced. This technology also increase the productivity of the company's' staff since they will concentrate on professional work rather that time wastage during document sorting.

Along with advantages come disadvantages too. Some of the disadvantages of teleform is that it renders some people jobless since before the installation of this application, they were the ones that sorted the papers so their job is taken away from them with the emergence of technology. This clearly explains that technology is both good and wicked. Wicked for claiming other peoples jobs.

Everything about teleform, from its history to its functioning then the advantages and disadvantages have been explained. It is therefore upon individuals and organisations to decide whether teleform is the change they need in order to improve their services. It would be a manual to digital transformation.
