What A Business Needs To Know About Digital Office Phone Systems

It can be expensive to set up a whole office phone system to include all staff. Despite communication being one of the most important factors to running a good business, companies still try to avoid spending too much on their phone bill each month. Almost all personnel will have a need for access to a phone, and those who require inbound call capabilities add to the cost of the monthly phone bill. Each analog phone line will cost a little more to install and run each month, especially when a company hires new staff. This can be expensive and impractical.

Virtual calling is a new concept that has been readily adopted by many businesses. A digital office phone system puts an end to costly landline installations when new staff join the company; all that is required is an extra subscription to the VoIP system. Phone lines do not become temporarily unreachable once a call is in progress on a line, making it perfect for busy call centers or offices. Anyone wishing to dial a number or answer inbound traffic can do so with others still using the system. There is even the opportunity to include multiple people in the conversation, which is really helpful for businesses that rely on conference calling.

Office switchboards were once the hub of activity, taking and forwarding calls, transcribing voicemails and forwarding messages. Skilled receptionists were required to operate these, and even then it was common for mistakes to occur and messages to get lost in transit. A modern office phone system using VoIP does not have these issues as everything is automated and can be completed much more quickly. A software interface allows users of the internet phone to set up their division's call handling preferences easily from anywhere. With this kind of system a manned switchboard is no longer needed, cutting costs associated with it.

The cost benefit of an internet phone is very clear; internet phones are cheaper than landlines. VoIP services offer cheap packages for office phone systems, ensuring a generally cheaper structure. In most cases the costs can be reduced by 50% by switching to virtual calling. Many of the calling bundles offered by VoIP providers also include low cost or free calls each month.

There are many more advantages than those stated above. With old cable systems, quality could often deteriorate easily, and callers often got a 'bad line'. Severe weather could rip down telephone poles and leave buildings without service for hours on end. The pricey copper used in the wires was in danger of theft which would add to the downtime. These risks do not affect internet phone lines and those using them can experience much better clarity and service. This is a big reason why companies should make the switch in their phone system.
